4.1.1 | SYSTEM AND APPLICATION SOFTWARE

01 | HARDWARE NEEDS INSTRUCTIONS

A laptop’s keyboard, processor and screen are hardware: physical components. Software consists of programs and instructions that tell the computer what to do.

The same hardware can display a game, edit a photograph or calculate a budget because different software provides different instructions. Software is not the screen or the file you have just created: a word processor is a program, while your saved essay is data handled by that program.

For this syllabus, classify software by its main purpose: services required by the computer or services required by the user.

02 | SYSTEM SOFTWARE: KEEP THE COMPUTER WORKING

System software provides the services that the computer requires. It manages and supports the computer’s operation, providing the environment in which applications can run.

The two key examples are operating systems and utility software. A computer needs resources such as memory and peripherals managed; it also benefits from tools that maintain and protect the system.

You may interact directly with system software. Opening the operating system’s settings or running a backup utility does not change its main purpose.

03 | THE OPERATING SYSTEM

An operating system (OS) manages the computer’s resources and provides services for applications and users. Examples include Windows, macOS, Linux, Android and iOS.

Examples of operating-system services
ServiceWhat it makes possible
Manage memoryGive running programs the memory they need
Manage filesOrganise, save and retrieve files
Manage peripherals and driversAllow programs to communicate with devices such as printers
Provide an interfaceLet users interact with the computer
Provide a platform for applicationsAllow compatible applications to run

The operating system also manages multitasking, user accounts and system security and handles interrupts. You will study these functions in detail in the next lesson.

Remember: Windows is an operating system; a word processor running on Windows is an application.

04 | UTILITIES: MAINTAIN AND PROTECT

Utility software performs tasks that maintain, manage or protect a computer system. In this syllabus, utilities are examples of system software.

Utilities support the system rather than create the user’s main work
UtilityPurposeExample situation
Anti-malware utilityDetect and deal with malicious softwareScan downloaded files for threats
Backup utilityCreate copies that can support recoveryRestore work after a storage failure
Disk-cleanup utilityRemove selected unnecessary filesFree space by deleting temporary files
File-compression utilityReduce the storage needed for filesCreate a compressed archive for storage or transfer

Utilities may be included with an operating system or installed separately. Being a separate download does not make a utility application software in this syllabus classification.

A backup is useful only if the needed files can be recovered. Simply synchronising a deleted file across devices is not the same as retaining a recoverable backup.

05 | APPLICATION SOFTWARE: DO THE USER’S TASK

Application software provides the services that the user requires. It helps the user complete a task, such as writing, calculating, communicating, designing or playing a game.

Classify the program by its purpose, not its icon or installation method
Application typeUser taskExample
Word processorCreate and edit documentsWrite a school report
SpreadsheetCalculate and analyse tabular dataModel a budget using formulas
Database applicationStore, organise and query recordsSearch a library’s book records
Web browserAccess and interact with web contentRead an online lesson
Graphics editorCreate or edit imagesDesign a club poster
Video editorEdit video and audio clipsProduce a project demonstration
Computer-aided design (CAD)Design models or technical drawingsModel a robot bracket
GameProvide gameplay for the userPlay a puzzle game

A database’s records are data; the program that lets you enter and query those records is software. A browser is an application even if it was included when the computer was purchased.

06 | FOLLOW ONE TASK: WRITING A REPORT

You open a word processor, type a report, save it and print it. One visible task involves several kinds of software.

Application and system software work together
StepApplication’s roleSystem software’s supporting role
Open the documentDisplay and edit the reportProvide the platform and allocate resources
Type textInsert and format the user’s textProvide input-device services
SaveRequest that the document be savedManage the file and storage access
PrintPrepare the document for printingSupport communication with the printer through its driver

The word processor helps you write. The operating system supports its operation and manages shared resources. The printer is hardware; its driver is software that supports communication with that hardware.

The CPU executes software instructions. The operating system coordinates resources; it does not replace the processor.

07 | COMPARE THE TWO TYPES

The distinction is about purpose
Point of comparisonSystem softwareApplication software
Main purposeSupport and manage the computer’s operationPerform tasks required by the user
Typical responsibilitiesManage resources; maintain and protect the systemCreate documents, analyse data, edit media or communicate
ExamplesOperating system; backup or anti-malware utilityWord processor; spreadsheet; browser
RelationshipProvide services and a platform for applicationsUse system services to complete user tasks

Exam-style comparison: System software provides services required by the computer, such as managing memory through an operating system, whereas application software provides services required by the user, such as creating documents with a word processor.

Give both purposes and relevant examples. Saying “one is for the system and one is for applications” does not explain the difference.

08 | CLASSIFY BY PURPOSE, NOT APPEARANCE

Does it run in the background? That does not decide the category. A music application can continue playing in the background; an operating-system settings window can be visible.

Was it preinstalled? That does not decide the category either. A preinstalled browser is still an application, and a separately installed backup utility is still system software in this course.

Is it free, paid or online? These describe cost or delivery, not purpose. A web-based word processor performs a user task and is application software.

When a program offers several features, explain its main role and the function named in the question.

09 | COMMON MISTAKES

  • Software means hardware: the screen and processor are physical components; software supplies instructions.
  • All software is application software: operating systems and utilities are system software.
  • A utility must be part of the OS: it may be installed separately.
  • A browser is system software because it came with the device: it provides a user service.
  • The document is the word processor: distinguish the data from the program.
  • System software never has a visible interface: appearance is not the classification rule.

Questions

Questions

CHECK YOUR UNDERSTANDING

Select all correct choices. Each exact set earns one point.

1. Which are system software?
2. Which are application software?
3. Which statements describe the main difference?
4. A student writes a report. Which statements are correct?
5. Which functions are associated with an operating system?
6. Which utility and purpose pairings are correct?
7. A browser is preinstalled and a backup utility is downloaded separately. Which statements are correct?

EXPLAIN AND COMPARE

Write your answers before revealing each sample.

1. Define system software and give two examples.

3. Compare system software and application software, using a school report as an example.

4. Explain why a backup utility is classified as system software.

5. Describe how a word processor and operating system work together when a document is saved.

6. Explain why running in the background is not a reliable way to identify system software.

APPLY IT | A SCHOOL MEDIA PROJECT

A team must write a script, calculate costs, edit video and keep recoverable copies of its work. Suggest suitable application types and one utility. State the purpose of each.

Reveal suggested answer

Word processor: write the script. Spreadsheet: calculate costs using formulas. Video editor: edit clips. Backup utility: create recoverable copies. The first three perform user tasks; the utility supports maintenance and recovery.
